Secure Record Portal
CopyInc’s secure and HIPAA compliant portal allows requestors to retrieve records electronically. Once records are available the requestor will be notified via secure email, which is verified at our corporate office. They then can sign on to our portal using there secure username and password. If they are not registered they are prompted to contact our corporate office and register. The file is only available for a limited amount of time this helps ensure protection of the records.
Every CD with records that is submitted to a requestor is encrypted with 256 bit encryption. In order for the requestor to get the encryption code they need to email the reference number to the corporate office. Once our corporate office receives the email they validate the email address and send the encryption code. All CD’s also have customized labels that are unique to each facility.
Records are sometimes emailed if we are provided an email address on the request form. Records that are emailed are encrypted before they are emailed with a 256 bit encryption code. In order for the requestor to get the encryption code they need to respond to the email. Once our office receives the email they validate the email address and send the encryption code.
Secure Record Transfer
All completed requests from the facilities can be transferred using our employee secure record portal. Each employee has access to their own individual portal sign on that is encrypted with their unique username and password. They can upload their completed electronic request and submit them to our corporate office. This creates a secure transferring of documents to our corporate office.
